What is the Office of Marketing Communications? Is there still an Office of Public Affairs? Where did the Office of Publications relocate?
  • The Office of Marketing Communications was created beginning July 1, 2008 to oversee branding, publications, advertising, media relations and all messaging directed from the University to its various publics.
  • The Communications Department (formerly Office of Public Affairs) and Publications Department are now included in the Office of Marketing Communications.
  • The Communications and Publications Departments have moved from the Carriage House to Siena House to be encompassed in the Office of Marketing Communications.

How do I list my event on the University’s master calendar?
  • Please complete the Event Request form.
  • The Communications Department requires a 2-week notice to post a master calendar submission. Major University events need a 6-week notice that require a flyer, direct mail postcard and publicity services.

What University resources are available to me to design a poster/flyer and a direct mail postcard to advertise my event?
  • The University of St. Thomas Office of Marketing Communications offers event-marketing services to assist in promoting campus events. Event planners will submit a Request for Event Marketing Services Form to the Office of Marketing Communications to access these services.
  • The Communications Department prints 20 color 8 l/2” x 11” flyers and five 11” x 17” sized posters to distribute around campus. There is no charge to the event planner for these copies. The Communications Department will provide you with a PDF version of the flyer. Using the provided PDF, the event planner is responsible for the cost of printing any additional copies.
  • The event planner is responsible for distributing their flyer in employee mailboxes.
  • As part of our publicity services, the Communications Department will prepare an e-mail flyer for distribution to the campus as a jpg file (135 kb). This e-mail notice will be sent 2 weeks prior to the event.

How do I schedule a photographer for my event?
  • The Communications Department needs 2 weeks notice to photograph an event.
  • Please complete the photography request form.
  • Please note that photography is only available from 8 a.m. – 4 p.m., Monday-Friday unless special arrangements have been made with Sandra Soliz, Director of Communications. Contact her at solizs@stthom.edu.

How do I obtain outside publicity for my event?
  • If your event is open to the public and you want your event notice sent to local media, submit your request to solizs@stthom.edu
    3 weeks prior to the event. 
  • Please note that a 6-week notice is required for ancillary event-marketing preparations such as a poster/flyer, direct mail postcards and a master calendar listing.

May I contact the media myself to promote my event?
  • The Director of Communications has working relationships with most local media editors and reporters so it helps to coordinate our pitches to these contacts. Also, reporters often need background information or assistance with photo shoots which the Communications Dept. provides.
  • If you have specific media contacts in mind for your event, the Communications Department should always be the initial point of contact. Send an e-mail to Sandra Soliz, Director of Communications, at solizs@stthom.edu.

What is the deadline to submit an article to the Star View newsletter?
  • The Star View newsletter is published by the Communications Department bimonthly excluding major holidays. This newsletter is published during the fall and spring semesters. The deadline is 2 weeks prior to publication.

If I’m interviewed for a story by the Communications Department may I review my text before it is printed?
  • The Communications Department reserves the right to edit all submissions according to Associated Press Style.
  • Communications Department staff will work with you to ensure accuracy within the limitations of our deadline-driven timelines.

If I’m contacted by the news media directly and I grant an interview, should I report my activity to the Communications Department?
  • All media activity should be reported to the Communications Department in a timely fashion so that the activity can be picked up by the University’s broadcast service.
  • Please complete the internal Media Interview Reporting Form.
  • News media are required to ask for permission before visiting the campus. View the news media guidelines and policy for details. 
  • Note that your media activity will be posted on the UST in the News page. A link for this page can be found on the UST homepage at www.stthom.edu.
  • The Communications Department regularly touts faculty experts to the media through a printed Media Resource Guide and an online version of the guide found on the online newsroom site. This guide is currently being updated and will be distributed in January 2009. This guide gives reporters direct access to faculty members.

How do I submit content changes for the Web site?

Can I setup an appointment to meet with the Web Content Administrator to discuss changes?
  • Yes, the Web Content Administrator will meet with staff or faculty needing changes to their content. However, the requested changes will not be made during the meeting. In addition, MarCom reserves the right to edit content for search engine optimization.
  • All web changes must be submitted to webmaster@stthom.edu as a Microsoft Word attachment (.doc) or embedded in the body of an email. 
  • All meetings between the Web Content Administrator and the party requesting the changes will take place in Web Content Administrator's office for the purposes of having access to all the relevant technical resources for review.

Are there size limits for files that are uploaded to the Web site (images, Word Documents, PowerPoints, PDFs, etc.)?
  • Yes, all files must be 5 megabytes (MBs) or less, in order to be uploaded to the Web site.
  • Overall size of multiple files is also considered. Disk space on the web server is limited and will be allotted at the discretion of the Office of Marketing Communications staff.

How do I get a new section of the Web site created?
  • Send a synopsis of your request to webmaster@stthom.edu. We will contact you for additional information if needed before making a final decision.
  • It is important to note that NO pages will be created on the Web site until relevant and sufficient content is provided for each page requested. We cannot create a page and then "go back later" and add content.

Where can I get information regarding guidelines for posting content to UST’s Web site?
  • Please refer to the UST Web Guidelines
  • It is imperative that you reference these guidelines when submitting a request for web content updates to the Web Content Administrator. Being knowledgeable (or at least referencing) the guidelines when formulating and presenting your request well help ensure it is filled without any objections or modifications.

Can I place a video on the UST Web site?
  • Currently, the UST Web site does not support online video. 
  • The IT department is working diligently to research, acquire, and develop the tools necessary to integrate web video functionality into the Web site.

Can I place a photo gallery or an image slideshow on the UST Web site?
  • Currently, the UST Web site does not support photo galleries or an image slideshows.  
  • The IT department is working diligently to research, acquire, and develop the tools necessary to integrate this functionality into the Web site.
  • You can however, post images to the Web site as outlined in UST's Web Guidelines.
