The Assistant Director of Student Activities is responsible for assisting the Assistant Vice President of Campus Life in overseeing the functions of the Student Activities Office. These functions include the planning and implementation of special University events such as Student Orientation and Family Weekend, the advising of student organizations, and the management of the Crooker University Center.
 
Essential duties and responsibilities:
Student development theory is used to create, plan, and implement educational, social, physical, and cultural programming designed to enhance the overall experience and achievement of both undergraduate and graduate students.  These means are accomplished through the following specific duties:
  • Oversee the day-to-day management of the Crooker University Center.
  • Advise student clubs and organizations, including the Student Activities Board and the Council of Clubs.
  • Serve as resource and advisor to all students and their organizations, including their organizational advisors; provide assistance in resolving on-going issues.
  • Monitor program budgets and control of expenditures.
  • Participate actively in campus events in order to support the University community and provide a leadership presence.
  • Assist in the recruitment, training and scheduling of student assistants for the Crooker University Center.
  • Develop and coordinate all student leadership efforts, including the annual Student Leadership Summit and the Leadership Banquet.
  • Coordinate, develop, implement and evaluate the New Student Orientation program for incoming undergraduate and graduate students.
  • Supervise the New Student Orientation Leader Team including the selection, training, and evaluation of these students.
  • Assess programs and services in order to increase the effectiveness of current programs and services, as well as create new initiatives to better meet student needs.
  • Serve on designated university committees.
  • Supervise student assistants and a graduate fellow.
  • Perform other duties as assigned by the Assistant Vice President of Campus Life.
Knowledge and skills required:
Master’s degree in Higher Education or a related field is preferred with a minimum of three years of professional experience in a college or university setting.  The candidate must have excellent communicational and organizational skills. Basic computer skills should include word processing, and spreadsheets.
 
Anticipated Start Date:
June 1, 2013
 
Working conditions:
Position requires irregular office hours including after-hours and weekend work to attend student meetings and events.  Office hours will be established in consultation with the Assistant Vice President of Campus Life.  Physical requirements are those of a typical office.

Staff Architect

The Staff Architect, under the direction of the AVP for Facilities, is responsible for the preparation and review of architectural designs for University of St. Thomas expansion, alterations, and renovation programs.  The position is responsible for organizing all necessary architectural services necessary for construction.  Oversees the work of selected contractors to ensure the work is being done according to contract, budget, and design specifications. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Prepare architectural plans, sections, elevations, details, presentation materials and other drafting tasks for campus projects of limited size to include:
    • Prepare preliminary sketches of projects to present to University administration.
    • Develop schematic studies for all facilities and renovation projects.
    • Prepare and coordinate the development of detailed working drawings and specifications.
  • Review and critique proposals made by consultant architects for the University’s growth and expansion projects.
  • Examine projects under construction and ensure the maintenance of sound architectural standards.
  • Assist with the bid process which includes ensuring that the project is thoroughly explained to contractors and assist with the bid review process.
  • Develop cost estimates and construction material recommendations working in partnership with external contractors.
  • Monitor and examine expenditures of funds of established project budgets.
  • Review general contractor qualifications.

EXPERIENCE REQUIREMENTS AND COMPETENCIES

  • Minimum 5 years’ experience under the direct supervision of a licensed Architect required.
  • Minimum 3 years’ experience with Auto-Cad expertise required.
  • Must thoroughly working knowledge of City of Houston building Codes.
  • LEED experience desirable.
  • Must demonstrate a high level of knowledge of architecture and architectural principles and techniques.
  • Must demonstrate the thorough knowledge of the different types of building materials and construction methods.
  • Must demonstrate the thorough knowledge of structural, mechanical and electrical engineering related to business costs.
  • Must demonstrate effective communication skills both verbal and written.
  • Must demonstrate the ability to work in a deadline-driven, fast-paced environment while collaborating with technical professional staff. 
  • Must have work experience where project management was an important component.
  • Must be proficient with Microsoft Word programs such as Word, Excel, and PowerPoint.

EDUCATION

  • Bachelor’s degree in Architecture or related field required
  • Registration as an Architect in the State of Texas preferred.
  • LEED certified desirable.

Director of Institutional Assessment and Effectiveness

This position reports to the Associate Vice President for Academic Affairs. The Director of Institutional Assessment and Effectiveness will play a key role in leading the university to achieve its objectives as an institution of higher education committed to the liberal arts and to the religious and intellectual tradition of the Catholic faith.

The Director will provide the effective leadership needed in the generation, analysis and dissemination of academic and administrative data for use in planning, policy-formulation, decision making, and budgeting to ensure that there is reliable evidence that the University and all academic and administrative units achieve the objectives required by the Southern Association of Colleges and Schools Commission on Colleges (SACSCOC). 

Duties and Responsibilities:

  • Plays a leading role in all activities related to compliance with the SACSCOC Principles of Accreditation, including preparing for reaffirmation and developing the Quality Enhancement Plan (QEP).
  • Provide expert consultation to academic and administrative units on outcomes articulation and assessment, research methodology, data management, and data analysis and interpretation for their own programs of self-study, planning and assessment activities.
  • Assists in developing and implementing academic assessment efforts including the core curriculum, program reviews, and outcome assessment plans. 
  • Direct the development and implementation of UST and national academic surveys.
  • Ensure all accreditation reports are completed as required and submitted in a timely manner. 
  • Design or identify, collect and maintain university-wide assessment results, analyzing and interpreting data to support evidence-based decision making.
  • Supervise the staff of the Office of Institutional Assessment and Effectiveness, including staff that work on grant-related assessment projects.
  • Conduct special studies as requested by senior leadership of the university.

 Experience and Requirements:

  • Minimum five years’ experience directly involved and managing an academic assessment and effectiveness function including the design and implementation of planning, research, and other related activities.
  • Demonstrated thorough knowledge of SACSCOC requirements including experience with compliance certification and the development of a QEP.
  • Demonstrated knowledge of statistical software (such as SPSS) with proficient quantitative and analytical skills.
  • Demonstrates a strong attention to detail.
  • Experience with on-line survey, evaluation, and assessment tools required.
  • Demonstrated ability to effectively utilize integrated databases and spreadsheets such as Excel and Access. 
  • Excellent oral and written communications skills as well as strong organizational and interpersonal skills. 
  • Demonstrated effective presentation skills.
  • Demonstrated ability to manage a complex set of projects with tight deadlines and priorities with a sense of urgency.
  • Demonstrates a familiarity with current trends in general education assessment, planning, and implementation.

Director, Graduate Admissions

The Director of Graduate Admissions will create standard processes and procedures for completing the application process for graduate programs, excluding the School of Theology.  The Director will support academic leadership to assist in creating admissions goals which are in alignment with the University’s strategic plan.   The Director will coordinate with the Office of Undergraduate Admissions to manage the admissions processes in alignment with the University’s procedures but focus on graduate level programs.   The Director will participate in special initiatives sponsored by the University or other organizations.  In conjunction with the Deans and Directors of Centers and the Office of Marketing Communications, explore creative strategies to attract applicants who demonstrate the desired qualifications and will work collaboratively to meet enrollment goals.  This work requires being mindful of the practices and strategies of the individual graduate programs or schools.  The Director should have a contemporary understanding of effective admissions techniques and the various disciplines offered at the University. 

Essential Key Duties:

  • Administer and revise the process by which the University communicates to graduate student prospects and applicants with a focus on completing the application process to assure efficiency, and best practices throughout the process.
  • Manage the prospect database and communications outreach strategy to convert qualified prospects to applicants.
  • Manage the enrollment funnel workflow from Prospect through the application stages in support of the graduate programs.
  • Analyze data, both external and internal, regarding enrollment trends, yield patterns, recruitment activities and best practices for graduate programs to support the Deans and Directors in establishing admissions goals.
  • Serve as consultative support to the Deans and Center Directors regarding issues related to the enrollment funnel and strategic enrollment management.
  • Direct training programs for employees who manage any part of the enrollment funnel; provide regular training the academic year on PeopleSoft, ImageNow, and Intelliworks.

Coordinator of academic Records - Transfer Credit

The University of St. Thomas (www.stthom.edu), a private university committed to the liberal arts and to the religious and intellectual tradition of Catholic higher education, is seeking an experienced Coordinator of Academic Records- Transfer Credit.  The Coordinator of Academic Records- Transfer Credit, under the direction of the Registrar, Dean of Academic Records, is responsible for coordinating and analyzing transfer and test credits, assisting with imaging the incoming transcripts and entering credits into the PeopleSoft student records system and Image Now.

Essential duties and responsibilities:

  • Coordinate the collection of student files from the admissions office, for undergraduate programs.
  • Coordinate the evaluation of transfer and test credit and the entry of that credit into student records in PeopleSoft.
  • Keep the university courses located on the Texas Common Course System updated
  • Image incoming transcripts and route through the proper workflow in Image Now.
  • Maintains daily records of transfer of credit evaluations, official and unofficial, as well as evaluating student appeals of previously completed evaluations.
  • Work closely with the implementation of the Image Now system.
  • Assist all students, alumni, and faculty with questions concerning basic policies and procedures of the Enrollment Services offices.
  • Other duties as assigned.
  • Assist the Registrar’s Office with graduation preparations and activities.
  • Assist the Registrar’s Office during peak registration periods and at other times as required.
  • May be required to work weekend/evening hours during peak periods.
  • Assist with student service at the Enrollment Services front counter as needed during peak periods.

Circulation Desk Supervisor

The University enrolls more than 3,700 students with its main campus located in Houston's Museum District.

Purpose of the job: To manage and supervise the circulation desk, the security desk and the book stacks.

Essential duties and responsibilities:

  • Responsible for the timely and proper closing and/or opening of the library
  • Ensure the efficient circulation of library materials
  • Supervise the circulation and front desks, security desks and library computer lab
  • Supervise stack maintenance and general upkeep of the library
  • Enter and remove comments, fees, blocks, account holds and other information stored on University databases related to library patron circulation records
  • Collect fines
  • Handle circulation problems to include tracking down lost and missing material
  • Handle patrons’ complaints and problematic accounts
  • Check and respond to “hold” requests
  • Oversee the operation and use of photocopiers, add-value machine and refunds related to the operation of these machines
  • Oversee the neatness and furniture arrangements in the library
  • Work in cooperation with reference and interlibrary loan departments
  • Provide directional information to patrons (maps, events, etc.)
  • Other responsibilities as assigned

Supervisory responsibilities: Supervise student assistants in the circulation department and the security desk.

Duties and responsibilities:

  • Position is primarily responsible for providing administrative support and assistance to the Dean of Arts and Sciences.
  • Duties include standard administrative and secretarial duties including drafting correspondence, filing and maintaining file, typing various correspondence reports, greeting visitors, answering the telephone, typing expense reports, and other miscellaneous administrative duties, as assigned.
  • In addition, position is responsible for coordinating the utilization of students workers assigned to these departments, monitor budget reports, prepare check requests, and possibly directing the work flow of other administrative assistants in the department.

Skill and Experience Requirements:

  • A minimum of five years of experience as an administrative assistant.
  • A minimum of three years of experience working with analytical reports and  other financial reports.
  • Work experience at an educational institution preferred.
  • Demonstrate an advanced level of proficiency and knowledge in Microsoft and Excel.
  • Must demonstrate a minimum of 50 words per minute skill with minimal errors.
  • An intermediate level of proficiency and knowledge in Microsoft PowerPoint.
  • Excellent written and verbal communication skills.
  • Must have experience drafting correspondence, reports, and memoranda with proficient use of English vocabulary and grammar.
  • Work experience involving working with teams and a variety of individuals at different levels required.
  • Demonstrate effective organizational skills with the ability to handle multiple tasks in an efficient and accurate manner.

Assistant Director, Annual and Constituent Relations

The University of St. Thomas, a private university committed to the liberal arts and to the religious and intellectual tradition of Catholic higher education, is seeking an experienced Assistant Director, Annual and Constituent Relations.

JOB SUMMARY

This position requires a talented and versatile professional front-line fundraiser who has a track record of developing and implementing effective, comprehensive annual giving programs. Reporting to the Director of Development, Annual and Constituent Relations and partnering with the development staff in a fast-paced and productive department, this role helps execute annual giving strategies and programs. The assistant director will identify, cultivate, solicit and steward annual gifts through personal solicitations, telemarketing, and direct mail.  S/he will be responsible for the execution of programs, projects, and benefits with constituents in supporting University of St. Thomas.  Additionally, build and strengthen relationships with key stakeholders, alumni, and volunteers.

DUTIES AND RESPONSIBILITIES

  • Coordinate, develop and apply a strategic plan of action with objectives, timelines and evaluation plans for the Annual Giving program. 
  • Annual Giving program will target alumni, campus community and friends of the university.
  • Work closely with UST Director of Development and other Advancement departmental directors to ensure coordination with their respective fundraising efforts.
  • Represent advancement throughout the community and promotes community awareness and support for the annual giving program.
  • Outreach to prospective donors through various means including, events, personal visits, and phone calls. 
  • Assist in the preparation of Advancement Office reports to the Board of Directors as well as the Annual Report of donors. 
  • Responsible for year to year comparisons and benchmarking
  • Some evening and weekend work will be required.

EDUCATION REQUIREMENTS

Bachelor’s degree in Business, Communications, English, Journalism or a related field required. 

EXPERIENCE REQUIREMENTS

Minimum of 5 years in Institutional Advancement area preferred.  Requires a bachelor’s degree.  Fundraising and volunteer management experience preferred.  A demonstrated track record of progressive success in past positions. 

SPECIAL KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • Effective organizational, computer, oral/written communication and project management skills.
  • Demonstrated ability in working with sensitive and confidential issues and under the pressure of deadlines.
  • Ability to work both independently and as part of a team.

  • Self-motivated and takes initiative.

  • Ability to lift boxes as needed to assist with event support

Financial Aid System Coordinator

The University enrolls more than 3,700 students with its main campus located in Houston's Museum District.
The purpose of the job is to manage daily PeopleSoft processes, troubleshoot issues, and complete testing of new software releases. The incumbent will also assist with the technical operations of the Financial Aid Office.

Essential duties and responsibilities:

  • Import Institutional Student Information Reports (ISIR) and export any FAFSA corrections to Central Processing System (CPS)
  • Prepare, send and receive Federal Direct Stafford Loan information with Common Origination and Disbursement (COD)
  • Prepare, send and receive Federal Pell Grant files with COD
  • Produce mailings related to financial aid awards and other correspondence
  • Run queries to identify populations of students for further processing by financial aid staff
  • Complete testing of system for patch sets, critical fixes, and any other changes to system
  • Respond to user inquiries, diagnose and resolve issues.  Liaison between the office and IT staff, regarding all IT requests and tickets.
  • Produce Financial Aid reports, when requested.
  • May be assigned to special projects as per Dean’s request.

Knowledge and skills required:

  • Minimum of bachelor’s degree, in computer related field of study
  • Financial aid experience preferred
  • Excellent attention to detail and organizational skills. 
  • Advanced knowledge of Microsoft Word and Excel.  PeopleSoft experience a plus.

 Working conditions

  • Occasional overtime around peak times
